Information for parallel session Chairs

Regarding your role as a session chair during the Conference, please read carefully and note the following:

  • The parallel sessions of this Conference have a 2-hour duration, with up to 6 papers each. Papers are normally allocated 15 minutes for presentation, with an additional up to 5 minutes for questions and answers, following each talk.
  • It would be helpful if you could read the papers to be presented during your session ahead of time, so that you will be familiar with the material to be presented, and also have the opportunity to prepare potential questions for each author. The papers are available through your CMS account.
  • Please attend the session room about 10-15 minutes before it starts in order to familiarize yourself with the equipment available in the room. Please note that a Student Volunteer is assigned for each session, who will be happy to assist you, should any problem arises.
  • Before the start of the session, please ask if any of the presenters will use his/her own laptop/equipment and ask them to check connectivity and compatibility with the rest of the equipment in the room (projector, sound system). In case of a problem, please make the necessary adjustments to the program of the session, in order to provide the presenter enough time to resolve it.
  • If during the session there is any kind of problem with a presentation, please make the necessary adjustments to the program of the session, by placing, for example, this presentation last in the line, in order to provide the presenter enough time to resolve it, and move to the next presentation. Please ask the Student Volunteer available in the room to help the presenter solve the problem.
    • If the presenter encounters a problem in his own equipment, please ask the presenter to use the equipment already installed in the room.
    • If there is a problem with the equipment installed in the room, please contact the support personnel of the Freeman Audio Visual equipment rental company by calling Guest Services at extension 7299 using the phone located inside the room and you will be redirected to the appropriate person.
    • If you have a problem with the room setup (air conditioning, lights, etc.) please also contact Guest Services at 7299 using the phone located inside the room and ask to report it.
    • For any issue related to the operation of the Conference, please contact the Conference Secretariat directly by dialing extesion7610.
  • At the beginning of the session, briefly introduce yourself and explain the timing system to the audience.
  • During the session, you will need to introduce the speakers and moderate the discussion.
  • Please be firm in adhering to the time schedule allocated to each talk.
  • Unless there is a problem, please adhere to the order of presentations as listed in the Conference Final Program. Many attendees move from session to session in order to hear specific presentations.
  • After the end of your session, please send to us a short email reporting which papers were not presented because the absence of the presenter. Your email should also report any problems that may have occurred and you are most welcome to include any comments or suggestions that you wish to share with us regarding the smooth running of the parallel sessions.
